Phone Tag! You’re it!
Are you tired of playing phone tag? Would you like to cut down on the number of return calls that you have to make? Here are a few tips that may help.
If you have to leave a message make it clear and concise, include your name and phone number and give the reason for your call so the other person is prepared when you do make contact.
If you are forced to leave a message, be sure to clearly state your name and phone number and the two best times to reach you. This way the person receiving the message doesn't have to look up your number and is more likely to reach you when you are available to take the call.
Take a moment and outline the key points of your call, this helps to avoid rambling calls that risk being deleted and call backs to ask about a key point you forgot to mention.
Don't say this is very important unless it is very important. If you get a reputation for “hyping" your calls you risk becoming like the boy who cried wolf.
If a person to person contact isn't necessary state this in your message. “I am calling to confirm our lunch appointment for tomorrow. Please leave a message at 555-5555 if this still works for you.”
These tips and a reasoned approach to phone messages in general will greatly diminish the number of times that you are “it” in the game of phone tag.
